Notes from the Club Committee

Money     The Treasurer continues to keep a watchful eye on a healthy bank balance
Equipment  Pam and Graham Stuart have recently  updated their inventory.
Orders for a new tunnel tent, a generator and an extra laptop are in progress
Club Kit  Thanks were expressed for Madeleine Watson's management of this.
Support for Juniors agreed for Hector Haines and Jack Wood representing England.

Several significant outcomes of committee reports and discussions appear elsewhere.
JK 2006 seems to be on course with Dave and Joan Chapman. Ian Marshall continues to seek officials for forthcoming events and  a 'different' club weekend is being arranged. (But don't just read about these… you need to respond...phone...email)
And the new 'Airienteers Trophy'  has had its first public outing  (see photo)

Draft guidelines for organisers on charging for small scale closed events
Major discussion at February's meeting, initiated by Shirley Wood taking us through the running of Wharfedale Schools series of events.
Club policy is not to make a surplus but to have transparent accounting and ensure that all expenses are met as far as possible from event income.

Guidelines apply to WEI, training and coaching, schools events, closed club-only
2  Organiser should check with Fixtures Sec. that event is
registered (insurance)
3  and should be aware of club's
Child Protection policy and need for first aid cover
Estimate costs in advance.  If printing maps, allow 50p for A4 or smaller and £1         for larger than A4.  Include officials' expenses, access charges, BOF levy if any.
For a league or series, budget for the whole series.
Entry fees should be set aiming to recover these costs, based on estimated
    no. of entrants and shouldn't  exceed current £3.50 / £1/50 for district events.
    (WEI in 2004 is £1 / 50p  -   see p. 28)
No entry fee.  Committee has discretion to waive entry fee.  Organiser should ask.
Accounting   Procedure is for organiser to deduct any expenses and pass the net
amount to the Treasurer with details of income and expenses.
For BOF levy, numbers of juniors and adults competing are needed.
The Treasurer will normally settle map printing accounts, access and BOF levy.
Prizes  Offering prizes is a good way to inspire juniors and encourage everyone.
Committee would be pleased to consider requests for prizes from club funds.
Protecting  young and vulnerable people
The committee felt that the BOF policy statement and the procedures outlined there seemed to be overly bureaucratic.  The club recognised the importance of coaches completing a CRB disclosure  and that the identities of young people should be protected when photographs of them are published in print or on the web.
Permission from parents must be obtained, especially if names are to be used.
It is clearly not reasonable to take photographs in car parks which are being used as changing rooms. 
(Does Aire Affairs seem to be following a sensible policy ?)
